IT Project Manager

Team size is about 20 in different departments with a matrix structure including executive site heads. Must have strong project and facilities expertise with closure experience. Needs to be a people person. This role does NOT need to have Medical device/pharma/bio experience.
Our client is looking for a talented Program Manager to manage a significant global facilities transformation program. The role is critical to ensuring that committed financial benefits are attained while operational risks are minimized.
The role is responsible for the coordination and management of multiple cross-functional facilities projects associated with the transformation. The Program will implement a facilities strategy to improve utilisation and optimise our facilities spend in our portfolio.
As a senior leader the Program Manager is responsible for the identification and resolution of Program level issues and the mitigation of risks where they pose a significant threat to success, always with a focus on delivering value to the business.
Responsibilities:
Delivery (What) - 70%:
Develops conceptual plans and budgets for facilities projects to support fiscal decision-making.
Coordinates with proponent groups and building committees to facilitate rational facility planning, budgeting, and scheduling.
Develops planning documents for initiation of projects to gain approval at Steering Committee
Prepares requests for proposal and conducts all necessary meetings to facilitate hiring architectural and construction management services.
Monitors and reports on all phases of planning, site upgrade and relocations
Coordinates all parties involved in the planning, design, and build if relevant
Develops and maintains facility project budgets
Prepares contract change orders and monitors their execution.
Reviews contract plans and specifications for compliance with appropriate building codes and project requirements.
Receives pay requests from professional consultants and contractors and approves for payment.
Monitors and facilitates resolution of disputes and claims with facilities partners
Coordinates with facility occupants move-in to new facilities
Monitors contract close-out and maintains documentation files
Assists in development of new standards of practice for Project Management activities with the Group PMO

Stakeholder Management and Delivery of Operating Model (How) - 30%:

  • Implement and lead the Group PMO governance structure
  • Manage relationship with leadership and operational stakeholders to ensure that dependencies are managed effectively
  • Manage the reporting relationship between delivery teams and senior stakeholders
  • Manage delivery through SN Matrix accountabilities to achieve project outcomes
  • Act as the single point of contact and escalation for all facilities delivery issues associated with transitioning services
  • Ensure realistic expectations are maintained through effective stakeholder engagement and management

Ability to build key relationships inside / outside the Program to achieve success
Strong communication skills and attention to detail
Ability to apply methodology whilst maintaining a pragmatic approach in a dynamic environment

Demonstrating proficiency in Microsoft Office
Fluent English is a must
Physical Demands:
