Project Specialist

SUMMARY

This position is responsible for supporting the VP HR and VP Marketing in both administrative needs as well as leading through special projects for both human resources and marketing functions. Some examples of projects would include managing the monthly key performance indicators (KPIs) for each function, managing the monthly internal communication newsletter, assist with scheduling recruiting onsite interviews, and assisting with scheduling engagement meetings.

Essential Duties and Responsibilities
  • Key management tasks across both HR and Marketing functions:
    • Lead the management of key performance indicators (KPIs) across both marketing and HR functions.
    • Capture actions and drive follow up on action lists coming from monthly meetings
    • Participate in developing standard work and implementing policies and processes as applicable.
    • Partner with leadership to facilitate meaningful change and improved organizational effectiveness.
    • Interface with high-level internal and external contacts on a global level.
    • Act as contact when staff is unreachable.
    • Manage promotions and/or recognition items.
  • Key HR responsibilities:
    • Manage monthly internal communications newsletter by consolidating articles from around the world.
    • Assist with scheduling recruiting onsite interviews.
    • Develop recruiting promotional material to support career fairs.
    • Manage and update the Kollmorgen policy library to ensure the latest policies are available for all employees.
    • Partner with the broader HR team to support positive employee relations efforts.
  • Key Marketing responsibilities:
    • Conduct research to support the marketing function in monitoring performance of key competitors.
    • Project management on items such as Investor Conferences and other corporate requests
    • Creative content reviews for product promotions, trade shows, etc.
    • Partner with the broader Marketing team to support key marketing initiatives
  • Key general administrative responsibilities:
    • Arrange both domestic and international travel schedules.
    • Manage monthly expense reports for the leaders supported.
    • Prepare spreadsheets, documentation, presentations and reports utilizing MS Word, Excel, and PowerPoint.
    • Coordinate and support internal meetings and conferences including room reservations, ordering refreshments, taking minutes and sending out follow up action items.
    • Willingness to learn additional software packages as required.
  • Along with those identified above, other duties may be assigned





Education and Experience Requirements
  • Bachelor’s Degree or equivalent experience.
  • Two or more years of experience managing projects or related experience.
  • Prior business management experience is a plus.

  • The ability to respond to changing situations and be able to reprioritize work as necessary.
  • May occasionally require flexibility in working hours.
  • Must be a self-starter with the ability to problem solve.

  • Excellent Microsoft Word, Excel, PowerPoint and Outlook skills.
  • Ability to communicate clearly and concisely, both orally and in writing.
  • Ability to work independently.
  • Ability to handle highly confidential and sensitive information.
  • Advanced knowledge of office procedures and general office equipment.
  • Ability to establish and maintain effective working relationships with internal partners and external contacts.
  • Ability to set priorities, meet deadlines and manage projects in a fast-paced, changing environment.
  • Ability to exercise judgment within general defined practices and policies in deciding problems and solutions.
